Automations are made by the agent. Describe what you want in the chat, and it creates the rule, tells you what it saved, and lists it under Personal settings › Automation.
Ask in your own words
Say when and what. For example:
- «Send me a summary of new customer enquiries every weekday at 7.»
- «When a meeting ends, create follow-up tasks for what we agreed.»
- «Every month, mark private customers who have not bought anything for a year as inactive.»
The agent reads back what it saved — the trigger, the conditions and the actions — so you can check that it understood you. Ask it to change or remove a rule the same way.
Triggers
- On a schedule — every day, every week or every month at a set time, in your own time zone.
- When a record is created — a new customer, a new deal, a new conversation.
- When a record is updated — any change, or only when one field becomes a certain value, such as «when a meeting ends» or «when a deal is won». The second kind runs once, at the moment of the change, and not again on later edits.
- When a record is deleted.
Conditions
A condition narrows a rule down — «only deals over 100 000 kroner», «only customers in Oslo». A condition can look at the record as it is now and, for updates, at what it was before the change. If the conditions are not met, the rule simply does nothing; if a condition cannot be checked at all, the run log shows the rule as Failed, so a broken rule never goes unnoticed.
Actions
What a rule can do:
- Send a message — to you or to colleagues.
- Send an email — always to you. To other people only once you have turned on the rule's Can email others for me switch yourself — the agent cannot do that for you. See Automations.
- Create a record or update a record.
- Wake the agent with a task — to write a summary, look something up or tidy records. The agent works as you, and notes in the run log what it did.
- Ask a question or ask for approval before going further.
- Schedule a follow-up for later.
A schedule that works through records Admin
A scheduled clean-up can name exactly which records it works on, using a precise query the agent writes for you. The rule then runs its actions once for each of those records, and the automations list shows how many records it matches right now. Because such a query can read across the whole workspace, only owners and administrators can create one.
Test it now
Ask the agent to «run it now» to see what a scheduled automation does without waiting for its time. The test is logged like any other run and does not move the next scheduled run. An automation that reacts to changes is tested by making the change it watches for.
